Global Events Campaign: Execution Framework
Team structure, roles, and accountability for executing a multi-city global events campaign.
Creative Hub & Core Team
The creative hub sits at the Agency HQ. The core team spans experiential strategy, creative and production, including technical
show production, logistics, fabrication and execution. This team creates the overall creative blueprint that shows up consistently
in all cities/countries.
Client Relationship & Meeting Cadence
One main point of contact or account manager owns overall project scope for the client, streamlining communications,
summarizing key points from each city in a weekly report/update to the client. The cadence includes a weekly all-team meeting,
breakout city meetings as needed with client, site-specific scouts with on-the-ground vendors, and one-on-ones between all main
leads as needed.
City & Country Lead Producers
Each city or country is assigned a lead experiential producer and creative director working directly with the core team. The
individual producers and CDs per city are responsible for cultural and local adaptations depending on what will visually resonate
locally, and adhere to local customs, laws, and ways of working. They manage local vendors, local staffing, applying best
practices and cultural considerations in how the team is managed and in how the production shows up to consumers, talent, on
social, and in press.
Unified Budget & Creative Standards
Every city's budget ladders up to one overall project budget and creative standards playbook, managed by the core team. This
ensures consistency in central thematic elements from city to city: graphic 2D / event visual identity, storytelling and immersion
elements, staffing standards, and guest experience quality control. All budgeting and payments come from the core team / HQ,
with key considerations including buying local currency at favorable rates to maximize budget, labor codes, insurance, and local
laws and customs.
Accountability
The agency is accountable to the client for the full scope of delivery. Taking on a project at this scale means being prepared to
own every aspect of it and to work to solve any and all problems, both in and sometimes outside of scope. All hands on deck.
